Vaccination Reports

Check your permissions

Your login must have Reporting permissions to access this feature. Check with your organisation administrator.

Reports Dashboard

To run a report:

  1. Click Care facility.

  2. On the left-hand menu, click Reports.
    The different reports menus will be displayed in tabs.

Reports available

All available reports will show. The Report Name will appear as the title of the csv file. The Report Description will confirm the purpose of the report.

  1. Click Run Report.
    The Report Parameters screen will open.

  2. Depending on the report type selected, you may need to select program type from the vaccines available. The name of each report will include the vaccine types it can be run for.

  3. Click Next.

  4. If a report specifying a Specific Day was chosen, select the applicable Date.
    If any other option was chosen, skip to step 6.

  5. Click Next.

  6. On the Programme screen, use the drop-down to select the applicable Programme.

  7. Click Next.

  8. If you are running a report for school or clinic sessions (i.e. not a Read codes report), select the applicable School or Session from the drop-down.

  9. Click Next.

  10. On the Schedule screen complete the following fields:

    • Frequency - this will determine when and how often the report will run.
    • Next run - this field will appear once a frequency is selected (except for Once only, run immediately). Select the time and date for your report.
    • Recipient - enter the email address for the report to be sent to.

  11. Click Next.
    The Review screen will show.

  12. Click Finish to save your changes.

  13. A confirmation will be shown, click Return to dashboard.

Reports Scheduled

This tab shows all upcoming reports for your organisation, detailing the frequency and recipient of the upcoming report run(s).

Future reports can be cancelled by:

  1. Click Cancel on the applicable report.
    A Cancel task screen will open.

  2. Click Process task.

  3. On the Information screen, click Next

  4. Click Finish to save your changes.

  5. A confirmation will be shown, click Return to dashboard.

The cancelled report will no longer appear on the dashboard.

Reports Submitted

All past reports and their status will appear on this dashboard.

Failed Reports

The system will not automatically re-attempt to run a failed report. If a report is showing a status of Failed it will have to be set up and run again manually.

Overview dashboards

To view a summary of a programme:

  1. Click Care facility.

  2. On the left-hand menu, click Overview Dashboards.

    There will be two tabs:

    • By School - to display details for a school
    • By Session - to display details for each session
  3. To display any information, use the Academic year and Imms type dropdown filter at the top right of the dashboard to select the applicable programme.

    This dashboard is designed to be a brief summary and will display a breakdown of the total responses received for each programme as well as the total number of patients for each possible outcome:

    • No consent
    • Already vaccinated
    • Contraindicated
    • Awaiting red triage
    • Awaiting orange triage
    • Immunised

    Please note

    It is not possible to include patients who have not completed any form of enrolment, as their details will not have been captured onto the ICH system.

School Access

Check your permissions

Only School based users will have access to this dashboard. Check with your organisation administrator.

To access the dashboard:

  1. Click Care facility.

  2. On the left-hand menu, click School Access.
    The different vaccination types will all be shown in their own tabs.

Each tab will display the patients assigned to that service, including:

  • Name

  • Date of Birth

  • Consent status - These will be colour coded:

    • If consent was given this status will be blue.
    • If consent was not given or is not applicable this status will be orange.

    TIP

    For the TdIPV and MenACWY programme, separate statuses will be shown for each vaccine as consent is given separately for each.

  • Year

  • Class - if applicable for your organisation

  • Session Date - if not booked onto a session:

    • a grey No Session Booked status will display if a booking is needed.
    • an orange No Session Needed status will display if consent has not been given or the child has already been vaccinated.

To filter information shown to a specific session date, use the Select Session filter button at the top right of the dashboard.
